The Duke of Edinburgh’s International Award – Australia is a leading youth development program that empowers all young Australians to explore their full potential, regardless of their location or circumstance. In Victoria, The Duke of Ed is offered by Awards Victoria and has been running for over 50 years, helping nearly 150,000 young people to become empowered young leaders, energetic involved community members and to realise their potential. We also offer the Compass Award, a leadership program for 10-14 years old and the Bridge Award, a development program for young people aged 14+ and with a disability.

We further offer various youth related forums, projects and workshops throughout the year relating to gender balance, leadership development, entrepreneurship and employability skills for young people

We currently have an exciting opportunity for an Administration Officer to join our team and work closely with our entrepreneurial CEO, Anoushka Gungadin, who is also a leadership coach, a speaker and an author.

You are:
• Very well organised and can organise CEO and team
• A master of operations, able to deliver on time and without being asked
• A team player, even-paced and task orientated
• Proactive thinker, quick on your feet and take initiative where necessary
• At home in a small and dynamic team with multiple projects/programs running
• Compliance focused & detailed oriented – enjoy ensuring all of your ” I”s are dotted and “T’s” crossed
• A natural perfectionist and great at customer service

You have:
• Experience or knowledge in bookkeeping, accounting or finance
• Strong skills and enjoy setting up/working with systems and processes
• IT knowledge and Advanced MS office skills including Word, Power-Point, Excel and Outlook
• Demonstrated ability to maintain confidentiality in all matters
• Legal or governance knowledge or experience will be an advantage
• A Working with Children Check (or willing to apply for one)
• Current Drivers licence

Your daily/weekly tasks will involve:
• General administration duties of the office
• Creating documents and statistical reports as required
• Invoicing and office accounting using Xero and liaise with our accounting firm
• Putting your compliance focus to great use in assessing Participants Record Books meet the requirements of the programs
• CRM and online recording systems updates
• Communicating with various stakeholders: including colleagues participants, teachers, parents, schools and suppliers
• Act as the Occupational Health & Safety representative
• Support governance related duties in relation to Licence, Insurance and HR and IT
• Support the orientation and induction for new staff members, maintenance of the training register and HR files

Your daily/weekly tasks will involve:
• General administration duties of the office
• Setting up, managing and answering phone calls and queries, meetings and travel plans
• Attending meetings and following up as needed
• Creating documents, minutes, proposals and reports as required on projects/programs
• Supporting and attending workshops and events throughout the year
• Communicating with various stakeholders: including colleagues, Participants, teachers and parents as well as partners and Board members on behalf of CEO
• Act as the Occupational Health & Safety representative
• Support the orientation and induction for new staff members, maintenance of the training register and HR files
